Job Description

Job Overview:

As the Business Systems Administrator, you will be responsible for managing implementation and use of all operational business systems and develops appropriate operating procedures to ensure efficient utilization to ensure the Mission of The Salvation Army is effectively carried out.

What You Will Do:

  • Provides technical support and training for all Office 365 systems and coordinates center-wide usage structure and procedures.
  • Manages strategic business technology solutions for Kroc Center operations to allow for timely and efficient extraction of relevant data in support of strategic decisions by Kroc leadership.
  • Drives system and process improvements to reduce manual tracking systems and utilizes database functionality to auto populate routine functions and information pulls.
  • Oversees implementation of new operational technology systems to assure smooth transition and effective integration with other systems.
  • Responsible for accurate, complete and timely entry of data into the Point-of-Sale system.
  • Serves as the chief resource for business process questions and provides specific and general information as required.
  • Provides regular and on-going training opportunities for Kroc staff to expand their knowledge and capabilities of business systems used in the Kroc Center.
  • Is responsible to administer licensing and renewals of business process software programs. Tracks renewal timing and projections for budgeting and planning use.
  • Researches, compiles, interprets, and summarizes information for statistics, various reports, spreadsheets, surveys, and special projects. Researches files, accounts, records, etc. to resolve problems and/or correct documented information; informs appropriate individuals of discoveries.
  • Provides recommendations to leadership which will improve/simplify/stream-line methods and procedures; initiates, explains, and enforces new and existing procedures as directed.
  • Creates and maintains Standard Operating Procedures for business technology systems as directed.
  • Coordinates regularly with the Technology Administrator to assure streamlined systems and an up-to-date inventory of all relevant items.
  • Act as the Technology resource and coordinating point in the absence of the Technology Administrator.
  • Provide 'on-call' support outside of normal work hours for critical system support and system maintenance. Schedule will be flexible and will include some evening and weekend hours.
  • Other tasks as assigned by leadership

Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education: High school diploma or equivalent is required. Some post high school education related to position is preferred

Qualifications:

  1. Ability to concentrate and pay close attention to detail for extended periods of time when reading and preparing reports or resolving operational problems.
  2. Excellent communication skills including interpersonal skills, tack & diplomacy. English proficiency required and Spanish language skills helpful.
  3. Strong analytical and organizational skills.
  4. Exceptional flexibility and ability to work on multiple projects or tasks simultaneously.
  5. Ability to collaborate and work within a team and maintain effective working relationships.
  6. Intermediate to advanced skill with Microsoft 365 Applications and cloud-based storage & sharing solutions; ability to access payroll, timekeeping and personal data via a web-based system.
  7. Broad conceptual judgment, initiative, and ability to deal with complex factors and ideas not easily evaluated. Must be able to make decisions based on conclusions for which there is little precedent.
  8. Attention to detail, creative problem-solving, and conflict resolution skills.
  9. Demonstrated ability to handle confidential matters
  10. Strong independent judgement and the ability to work independently.

Background Checks: Position requires a background check to be completed. Findings may disqualify an individual for this position

Experience: . Must have one to two years of related computer data entry and data processing experience. MCSA certification in Microsoft Windows, Server, or 365; MTA certification in Microsoft Database, Developer, or IT infrastructure is preferred, but not required.

Certifications: Must have a valid driver's license and maintain The Salvation Army Driver's qualification standard; must complete Safe From Harm training within the first 90 days of employment

Skills/Abilities:

  • Able to speak, write and understand English in a manner sufficient for effective communication with leadership, field personnel, and clientele
  • Computer proficiency with Microsoft products and ability to learn electronic reporting systems

Supervisory Responsibility: No supervisory responsibilities

Travel: No travel required

Working Conditions: Work is performed in an office environment; may require some weekend and evening work.
